How to Use the Bento 3 Contact &
Customer ManagerBento 3 CCM

The free Bento 3 Contact & Customer Manager includes:

  • A 30-day trial of Bento 3 for Mac
  • Three pre-designed ready to use database templates, one for managing contacts and customers, one for tracking sales receipts, and another for organizing sales opportunities.

This article focuses on how to use the Contacts & Customers templates to help you manage your contacts, clients and customer details all in one place.

  • Download and install the template:
    • If you haven’t already downloaded the Bento 3 Contact & Customer Manager, please visit the Bento Template Exchange to download it now.
    • Once downloaded, double click on the file “Bento Contact & Customer Manager.bentoTemplate”.
    • Now you should see the Bento Contact & Customer Manager folder in your Bento 3 Libraries List. Click on the Contacts & Customers library, and you’re ready to begin.
  • Using the Contacts & Customer template:
    • Click on the Overview form, then click on the “+” sign at the bottom of the form to add a new record. Now you can begin adding contact information.
      • Enter the contact’s first name, last name and so forth.
      • To add a picture, just click in the Picture field, and navigate to the contact’s photo. You can also drag and drop a picture from your desktop.
      • In the Notes field, choose “Current Date and Time” from the Insert menu to date- and time-stamp your notes from meetings and conversations.
    • Click on the Calls, Meetings and To-do Items form. This is where you can link events and tasks from iCal to each of your contacts.
      • In the lower left corner of the “Activities Linked to this Contact from iCal Events” list, click the leftmost button to “Add related records from a list”. This will display your iCal events.
      • Choose the events that are related to this contact, and click “Add to List”.
      • Do the same for “Activities Linked to this Contact from iCal Tasks” to add upcoming to-do items and follow-up tasks related to this contact.
    • Click on the Notes & History form to add notes from meetings and conversation. Remember to choose “Current Date and Time” from the Insert menu to date- and time-stamp your entries.
    • Click on the Emails form to drag important emails related to this contact from Apple Mail.
    • Click on the Documents & Files form to store spreadsheets, contracts, resumes, or any type of file related to this contact.
      • You can drag and drop files into the files list, you can click the “+” sign in the lower left corner to navigate to a specific file.
      • Press the spacebar to view any file using Quick Look.
    • Click on the Sales Receipt form, to view sales receipt linked this contact. To create a new Sales Receipts, click the “+” at the bottom of the Sales Receipt list or use the Sales Receipt library also included with the Bento 3 Contact & Customer Manager.
    • Lastly, click on the Sales Opportunities form, to view sales opportunities linked this contact. To create new Sales Opportunity, click the “+” at the bottom of the Sales Opportunities list or use the Sales Opportunities library also included with the Bento 3 Contact & Customer Manager.

You can also use these templates with Bento for iPhone and iPod touch so you’ll always have all your customer information at hand!
