One of the largest producers of beverages in South America is Coca-Cola Andina (Embotelladora Andina SA), a Chilean franchised manufacturer and distributor of Coca-Cola products in Argentina, Brazil, Chile, and Paraguay since 1946.
Coca-Cola Andina IT staff is always eager to improve productivity and efficiencies. So when they realized that outdated processes were needlessly complicating and slowing IT project plans, they turned to the FileMaker Platform from FileMaker, Inc. With the help of local FileMaker developer MacPro Computer Consulting, Andina developed Tracking, a custom app for IT project planning, management, and control. Tracking helps the IT department manage and make sense of all the IT innovations that fuel Andina’s operations.

Andina develops IT projects on the SAP platform. They must use Coke One, a set of best practices used by Coca-Cola bottlers around the world to ensure project management consistency, quality, and structure. Paradoxically, even though Andina develops IT initiatives using modern technology, they were managing those projects the old-fashioned way — using Excel, Word, or MS Project.
Despite the sophistication of Coke One methodologies, Andina discovered that managing complex IT projects using outdated, siloed software was inefficient and expensive. The bottleneck caused more than just long hours and miscommunication in IT. Because there was no way to consolidate and synchronize incoming field and office information, Andina started to notice reduced performance in other areas of the organization. It became clear that they needed a better solution.
Before implementing the new app we ran a maximum of eight projects at the same time. Now, with the FileMaker Platform, we can manage up to 15 simultaneous large-scale projects. Because of this custom FileMaker app, we deliver them on time or, even better, before the deadline.

FileMaker: A refreshing change

Coca Cola Andina turned to the Chilean company MacPro Computer Consulting, a member of the FileMaker Business Alliance. MacPro started where Coca Cola Andina was getting stuck — at finding a better way to implement project planning, management, and control as outlined in Coke One.
MacPro developed a custom app on the FileMaker Platform for Andina called Tracking. This app features an attractive, easy-to-use interface and consolidates all of Andina’s project management information into one convenient place. Using FileMaker Server and FileMaker WebDirect, both corporate-based and remote Andina employees can now access and update information in real time from a web browser. The app includes a standardized dashboard with tools that let users generate or modify applications and reports.
Since Andina must adhere to the Coke One methodology, customization was key. Implemented gradually, in three major phases, Tracking transformed the way Andina plans and implements IT initiatives across the entire company.
The Results: Real time information for reliable project management
Today, Andina relies on Tracking as a standard IT project management app for all IT projects, regardless of complexity or size. The custom FileMaker app provides a reporting platform with easy ways to access and use reports and dashboards, so business meetings are shorter and more productive. The app has almost doubled Andina IT’s productivity.

Employees can easily detect potential problems and risks and work proactively to reduce them. Managers also use the app to analyze resource distribution across four countries, while measuring employee performance. Even with multiple, large scale projects always in progress, Tracking helps ensure nobody misses a detail. Andina takes advantage of the flexibility of the FileMaker Platform to iterate, as well. As new needs arise, Andina improves the app to adapt it to emerging needs.
