From 1873 to 1905 the Sulphur Bank Mercury Mine (SBMM) adjacent to Clear Lake in California was one of the largest producers of mercury in the state. Today, Clear Lake is an EPA Superfund site due to mercury contamination. The good news is that cleanup efforts are under way, led by E2 Consulting Engineers.

The process is a massive undertaking, involving eight different regulatory agencies, seven subcontractors, and 20 onsite engineers, scientists and construction staff. Daily progress must be logged and reported, which used to be a cumbersome, manual process. But all that has changed thanks to a custom FileMaker solution for Mac, Windows and iPad. The FileMaker solution, copyrighted by E2, is using the FileMaker Platform and hosted in the cloud where the solution is accessible by Macs, iPads and web browsers.

John Lucero, E2's Program Manager for the SBMM Superfund site, comments, "Filling in forms has gone from eight hours a day of hand writing to just two hours entering data on the spot with iPad. The FileMaker Go app makes it so incredibly simple to take the FileMaker solution to iPad. It provides instant, seamless integration with the offsite FileMaker Server host, which allows many people to access data at the same time and do a lot of things we couldn't do before."

In addition to written reporting, Lucero and his team are now able to log aerial and underwater photography using container fields in FileMaker to visually document the project. They also use the custom FileMaker solution to track change orders, issue health and safety reports, file submittals to subcontractors, provide daily quality control reports to the contract officer as prescribed by the U.S. Army Corps of Engineers and disseminate information to EPA officials.

In just four weeks, The Support Group produced a custom FileMaker solution.

Bulletproof custom solution in four weeks

Lucero had some experience with FileMaker for developing proposals and estimating projects, but he wanted to do much more with the SBMM Superfund site. So he first created a prototype on his own and then turned to The Support Group, a Platinum level member of the FileMaker Business Alliance, for polishing.

In just four weeks, The Support Group produced a custom FileMaker solution that enabled E2 to automatically import photos, set access privileges and streamline reporting.

"The Support Group really bullet-proofed the solution," says Lucero. "We were able to set up well-tailored rights and privileges for five or six tiers of accessibility. This allows different regulatory agencies to see just the information they need such as daily logs and photos. They can log in through the web, which saves the time and expense of onsite visits."

Easily extended solution

As the construction proceeded, E2 was able to quickly add tables and layouts to enter more data in the field than originally planned. Lucero adds, "Once we saw how we could automate even more data collection, we quickly added more modules on the fly so we could have as much data as possible managed with the FileMaker mobile solution. This made the communication with our field staff simpler because we were literally working off the same page when they entered survey or water quality data."

Eric Culver, The Support Group's Managing Director for west coast operations, remarks, "The latest FileMaker design tools like ready-made, elegant templates are phenomenal and saved a lot of time and money. They enabled us to design a beautiful, highly usable look and feel. And the rapid deployment to iOS was very nice."

Lucero concludes, "While we are determining the best remedy for the groundwater plume that threatens the natural ecosystem, fish and people in the surrounding area, we're also working to mitigate existing damage to the sediment on the lakebed. FileMaker is helping us track our progress and mine the data in real time to find insights that help us be as effective as possible in solving the problem. We're getting smarter as we go."
