FileMaker Go gives technicians on-the-spot information about work orders, time cards and parts requests.

Construction and service company Market Refrigeration Specialists installs and maintains large refrigeration and HVAC systems for major retailers such as WalMart, Target, Whole Foods, Sprouts, Vons and Albertsons. Their job entails ensuring that ice cream, vegetables, frozen pizzas and other food items contained in refrigeration and freezer units in store aisles stay cold or frozen.

Inefficient paper-based systems, however, made processing work orders, time cards and parts request forms for maintaining units slow and tedious. Today, the company uses a custom FileMaker solution that lets field technicians process orders in real time using iPads. As a result, revenue cycles have shrunk from months to weeks, substantially strengthening the company's reputation and bottom line.

Eliminating paper-based bottlenecks

Traditionally, Market Refrigeration Specialists' field technicians filled out paper work orders in triplicate. Parts orders also had to be written up and faxed.

Ron Yorkman, Market Refrigeration Specialists' account manager for WalMart and Target, explains, "Technicians might finish a job in one day, but we wouldn't get the work order back for two or three weeks. There were tons of delays and inefficiencies to the point where it might be 30 or 45 days before an invoice finally went out to the customer."

Easier, faster administration, including time tracking, has enabled Market Refrigeration Specialists to expand its services business.

Work orders processed in real time

With revenue on the line, Market Refrigeration Specialists needed a better way to process work orders. On the recommendation of a local Apple Store, Market Refrigeration Specialists evaluated FileMaker, then worked with FileMaker developer Angel City Data to create a custom solution for iOS.

In just one month, Angel City delivered the initial set of applications. With 45 iPads in the field, technicians no longer have to use clipboards with paper forms filled out in triplicate.

With the new iPad solution, technicians can clearly view their daily assignments and work orders and travel to various client sites. Once they arrive at a destination, they can review client requirements and project parameters and get to work right away. Everything runs on FileMaker Server in the main office, so as orders are completed data is instantly recorded in the central database for invoicing.

Similarly, when parts are needed to keep a refrigeration unit running properly, technicians simply fill out a FileMaker form. This allows parts to be ordered the same day and received within a day or two rather than taking weeks as it did before. The end result is that technicians get the parts they need faster, complete work more efficiently and when work is complete, they can generate invoices on the spot.

"Invoices go right out to customers," notes Yorkman. "Instead of waiting two months to see revenue, we now get paid within two weeks."

On a day-to-day basis, FileMaker solution provides technicians with a simple, self-populating form for reporting refrigerant handling. This information must get to the Environmental Protection Agency within seven days or Market Refrigeration Specialists could face fines of up to $10,000. By answering a few questions and hitting Submit on the iPad, technicians automatically transfer information to an EPA certification document.

Improving solutions on the fly

Market Refrigeration Specialists also added a time card application to the FileMaker solution. This automatically tracks technicians' hours and calculates overtime, which is then submitted daily to the payroll system using a button on the iPad.


The digital time card eliminated the need to manually calculate each technician's hours, saving the company 120 hours of administrative time per week. With savings in administrative time, the company has been able to afford to hire additional technicians and expand its service business, further contributing to revenue.

"Creating the time card was challenging because it includes a lot of variables," says Yorkman. "But the great thing about FileMaker is you can easily iterate and improve on the fly."

He concludes, "Our FileMaker solutions have saved us a tremendous amount of time and money. But most important they have helped us expand our business, ensure that food goods sold to customers are fresh and serve customers faster and more responsively."
